Terms of Service
Effective date: 9 October 2026
1. Introduction
These Terms of Service govern services provided by Sanadat Documents Clearing Services (“Sanadat,” “we,” “us,” or “our”).
Before proceeding with a service, we will provide the relevant scope, fees, and requirements. Your acceptance of the quotation or service order confirms your agreement to these terms.
2. Our Services
We provide document clearing and administrative support, which may include document attestation, legalization, visa application assistance, business documentation, and government transaction processing.
The services included in your order will be specified in the accepted quotation or written agreement.
Sanadat acts as a service facilitator. Decisions, approvals, and document issuance remain with the relevant government departments, embassies, consulates, and other competent authorities.
3. Customer Responsibilities
You are responsible for:
- Providing accurate, complete, authentic, and valid information and documents.
- Having the necessary authority to submit documents belonging to another person or business.
- Reviewing application details before approving submission.
- Providing requested documents, instructions, and payments promptly.
- Informing us of changes that may affect your application.
We may decline or suspend requests involving suspected fraudulent documents, misleading information, or unlawful activities.
4. Quotations and Fees
Quotations identify the agreed service charges and, where known, government fees, third-party charges, and applicable taxes.
Unless expressly included, translation, courier, embassy, government, and other external charges are additional.
Quotations are valid for the period stated on the quotation. External fees may change before submission. We will inform you of changes and obtain your approval before incurring additional charges outside the agreed scope.
5. Payment
Payment is due according to the accepted quotation or service order. We may require advance payment before starting work or paying external fees.
Services may be paused if required payments remain outstanding. Additional work outside the original scope requires a separate quotation or written approval.
6. Processing Times and Approvals
Processing times are estimates unless expressly agreed otherwise in writing. They may be affected by document requirements, authority procedures, public holidays, system availability, and third-party processing.
We do not guarantee approval, visa issuance, attestation acceptance, or completion by a particular date where the outcome depends on an external authority.
We will communicate material updates received in relation to your application.
7. Customer Authorization
You authorize us to use and submit the documents and information necessary for the agreed service and to communicate with relevant authorities or service providers on your behalf.
Where a separate authorization, signed application, or power of attorney is required, you must provide it before the relevant action is taken.
8. Original Documents and Collection
Where original documents are required, handover and return arrangements will be agreed with you. Please retain copies and any receipt issued for documents submitted.
Documents will be released to you or an authorized representative following appropriate identity verification.
Courier delivery, where requested, is subject to the agreed delivery arrangements and the courier’s terms. Any proposed storage charges for uncollected documents will be disclosed and agreed in advance.
9. Cancellations and Refunds
Cancellation requests must be submitted in writing.
If work has not started and no external charges have been incurred, amounts paid will be refunded, subject to any cancellation charge expressly disclosed and accepted before purchase.
If work has started, any refund will reflect the work completed and external costs already incurred. We will provide a breakdown of deductions.
Government and third-party fees are refundable only where the receiving organization permits a refund and the amount is recovered.
An application rejection does not automatically entitle you to a refund for services properly performed. If Sanadat fails to provide an agreed service, we will assess an appropriate remedy, which may include correction, re-performance, or a refund for the affected service.
Approved refunds will be processed promptly, normally through the original payment method.
Nothing in this section limits rights or remedies available under applicable law.
10. Corrections and Resubmissions
Please notify us promptly of errors.
We will correct errors attributable to our work without an additional Sanadat service charge. Responsibility for any resulting external charges will be assessed according to the circumstances and applicable law.
Changes or resubmissions resulting from inaccurate customer information, new instructions, or additional authority requirements may incur fees, which will be disclosed before proceeding.
11. Personal Information
We handle personal information in accordance with our Privacy Policy and applicable requirements.
Information and documents may be shared with authorities and service providers where necessary to carry out your requested service. Please review our Privacy Policy for further details.
12. Suspension or Termination
We may suspend or end a service where required documents, authorization, or payments are missing, or where continuing would involve unlawful conduct.
Where appropriate, we will explain the reason and provide an opportunity to resolve the issue. Any outstanding documents and payments will be handled according to the work completed, costs incurred, and applicable law.
13. Responsibility and Liability
Each party remains responsible for its own actions and obligations under applicable law.
Sanadat is not responsible for an authority’s independent decision or delays caused solely by external events beyond our reasonable control. This does not exclude responsibility for our own errors or failure to perform agreed obligations.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited.
14. Events Beyond Our Control
Events such as government system outages, authority closures, natural disasters, or other circumstances beyond our reasonable control may affect performance.
If this occurs, we will inform you and discuss revised timelines or available alternatives.
15. Complaints
Please send service complaints to info@sanadatuae.com, including your name, order reference, and a description of the issue.
We will review the complaint and respond as promptly as possible.
16. Governing Law and Disputes
These terms are governed by the applicable laws of the United Arab Emirates.
We will first seek to resolve disputes through direct discussion. If a dispute remains unresolved, it may be referred to the competent court or authority with jurisdiction under applicable law.
17. Changes to These Terms
Updated terms will be published with a revised effective date and will apply to new service orders. Changes to an existing order require agreement, except where a change is required by applicable law.
